Office assistant.

A small Tribal office covers the phones, email, grants, council and community requests.
The Office assistant takes the routine drafting and tracking off the desk, so staff get hours back each week for language and culture work.

How it works
01
Staff ask for a draft

From My Office, a staff member pastes an email, picks a meeting, a grant or a consultation, and asks for a draft.

02
It drafts from the office’s own records

The draft is built from the office’s approved answers, its templates and the records already in ECO. Anything it cannot answer is marked “needs a person”, never guessed.

03
A person decides

Every draft waits in a review list. Staff approve, edit or discard it, and send it themselves through the office’s usual way.

What it handles

Seven routine jobs a small office does every week, plus assistants for grants, consultation requests, the council, site monitoring and the workforce office. The Org Admin chooses which ones are on.

Office assistant
Inbox replies
Paste an email or a member’s question and get a draft reply from the office’s own approved answers, hours, contacts and programs.
Meeting minutes
Rough notes, typed or pasted, become a draft agenda and minutes in the office’s own template. Action items become tasks with an owner and a date.
Grant deadlines
One calendar of every grant deadline, with reminders to the staff member assigned 30, 14, 7 and 1 days ahead.
Grant report drafts
Pick a grant and a period. The narrative and numbers are filled in from the projects, volunteer hours and in-kind value already recorded.
Consultation letters
Acknowledgement and follow-up letters drafted from the consultation tracker, with the agency, the project and the reply date in place.
Scheduling
Suggested volunteer shifts and event schedules from the volunteer roster and the events calendar.
Monthly council report
The month’s projects, grants, consultations, events, volunteer hours and member requests, brought together in one report for council.
Grants assistant
Funding watch
Funding notices already in ECO, matched against the Nation’s own priorities such as language, historic preservation, broadband, elders, youth and land, with the due date, the agency and who may apply.
A plan for each opportunity
An eligibility checklist, a timeline worked back from the due date with council resolution and review time, a budget outline for staff to fill in, and the attachments notices usually ask for.
After the award
A report calendar, reminders to the person assigned, and progress reports pre-filled from the office’s own records.
Consultation intake assistant
One link for agencies
Agencies send consultation requests through the office’s own link, with the project, the deadline, the location and their files. Requests wait for the office; nothing is shown to the public.
Logged and on the map
Each request goes into the consultation tracker and onto the Atlas, and the office sees when a project comes near a protected place without any detail reaching the agency.
Letters and deadlines
Acknowledgements, requests for more information and follow-ups before the deadline, with reminders and a view of open requests by deadline, agency and status.
Council packet assistant
The packet for each meeting
A proposed agenda and packet list built from the council records: minutes waiting for approval, open action items to report on, resolutions waiting for action, and candidate new business such as grant applications that need the council’s approval. The chair and secretary keep, change or remove every item.
Resolutions in the usual form
A draft resolution for a grant application, a consultation or any subject staff type, with the governing body, the quorum and a certification block. Numbers, citations and votes are left for people to fill in.
Follow-ups from the minutes
Every open action item by owner, what is overdue, a short reminder note for each owner, and what was finished since the last meeting.
Site monitoring assistant
Visit reports
One place’s visits for a period, from the field visitors’ own entries: condition, integrity, threats, what was seen and done, and follow-ups. A finding sent to the office stays in its restricted record.
Visits due
Every monitored place by when its next visit is due: overdue, never visited, due soon, and places with no field visitor assigned.
Reports for agency partners
The periodic report a forest or land agency partner expects, with no coordinates, no visitor names, no findings text and nothing restricted. Places held under a Tribe-defined Protocol are left out.
Workforce assistant
Job postings
A posting from a Work board opening or from typed details, with the Nation’s preference wording to confirm, and for the office only how many people in the worker registry fit, as counts, never names.
Applicants in order
The applicants to an opening, sorted by preference status (verified first) and by the listed skills that match. The employer and the office decide who is hired.
TERO summaries
Contracts, hires, preference hires against the target, hours, fees, contractor certifications to renew and Work board activity for a period, ready for the commission or the council.
What you can count on

Made so the office stays in charge of every word that leaves it.

Safeguards
Draft only
Nothing is sent, posted or filed on its own. A staff member approves, edits or discards every draft.
People make the decisions
It never decides enrollment, money, council matters, hiring or who is eligible for anything.
The Tribe’s protocols come first
It works only with what the signed-in staff member may already see, and never reads or quotes restricted, sacred or protocol-limited material.
The Tribe’s data stays the Tribe’s
Drafts are kept in the Tribe’s own network and nothing is used to train any system.
Every step on the record
Who asked for a draft, what was drafted, and who approved or discarded it, with the date, in a log the Org Admin can read.
Off until you turn it on
The Org Admin switches it on for the network and chooses which assistants and which of the seven jobs are on. Each assistant is used only by the people who already work with its records.
The Office assistant sits in the My Office menu group, for people with an office role.

Less time drafting,
more time for the language.

Private to your network. Staff approve every draft.
